Plan for the people who will use it

A launch is a milestone in the life of a website or system. The people who update content, respond to enquiries and keep the service running need to know how their responsibilities fit together. A handover should explain the everyday tasks in the language of that team.

Start by naming the owner of each part of the service: domain, hosting, content, software and support. Record which accounts belong to the organisation and who can authorise changes. Transfer access through an agreed secure route, with individual accounts where the system supports them.

Leave a map of the system

Provide a concise inventory of the site, its integrations and the subscriptions it depends on. Include renewal dates, support contacts and the location of source files or editable assets. The map should make it possible for someone new to understand what exists without reconstructing the project from old messages.

Show the team how to carry out common changes. Short task-based instructions are often more useful than a long feature tour: updating a service page, adding an image, checking a form enquiry or publishing an article. Record important limits, including any actions that require specialist support.

Agree the recovery and support route

Explain how backups are made and who can restore them. A recovery process should be demonstrated in a suitable test environment, so the team knows what it involves. Document the route for reporting an incident, the information needed to investigate it and how urgent issues are handled.

Separate routine maintenance from new development. A support agreement can define the included tasks, response arrangements and the process for quoting larger changes. Those decisions make ongoing care easier to manage and budget.

Check understanding before closing

Ask the receiving team to complete a few representative tasks while support is still available. Resolve gaps in instructions and confirm the remaining actions in writing. A useful handover leaves people able to work with the system, alongside a clear route for help when they need it.
